Use ops software to save on headcount at major events and venues

...and redistribute jobs to other areas such as spectator experience, social impact & legacy, and experiential marketing. Make your planning and delivery more collaborative and more efficient, freeing up labour on the coordination and management side - and plug those gains into other areas, such as making your visitors' days even better, delivering a local legacy programme, or marketing in a more interactive way.

Where can you save and where could you give more?

1. Better project management means less admin. Less 'management', more 'projects'?! Better collaboration naturally through notification, clearer assignment, and individuals and departments able to see how they are affected by dependencies. 90% of projects require teamwork rather than individual responsibility, so enable your team to communicate and work together.

2. Readiness software means fewer readiness coordinators. Schedules are set out with activities to be carried out and capabilities to be tested, with results to be fed back automatically - this is a lot simpler. Major events or huge venues are immensely complex operations, the former potentially spanning nations (or a whole continent, if you're Euro 2021, being hosted by cities from Dublin to Baku!). Invest the time in getting your readiness programme set up in the software, and reap the benefits as you carry out the activities.

3. Better oversight on site and automatic notification means fewer people are needed to do the checks-and-balances work. Save time and money on radios and devices, with staff using their own devices to communicate updates, creating an easy and efficient link between staff around the site and venue management / event control. Instantly notify event control and relevant staff about tasks, failed checks, incidents, and maintenance jobs.

4. Then, with savings in tow, what's next? Why not think about identifying those previous 'nice-to-haves' that will actually really boost your event or organisation? We'll leave this to you. If you use venue or event operations software you'll make real savings, so consider whether you need to retain them as savings, or whether you can re-invest elsewhere.

There are types of SaaS software that everyone seems to have acknowledged will save time and money - accounting software, CRM systems - but what about in operational event delivery or venue management? It's the same principle, using software to 'upskill' your department by letting the software provide the expertise. For ops software, the software is a coordinator and a facilitator, allowing better collaboration and greater efficiency. Let's all think about the gains we can make in our operations and how we can re-invest those gains to improve in other areas.
